Ascot Business Suite – End-User Licence Agreement

1. Introduction
This End-User Licence Agreement (“Agreement”) governs the use of Ascot Business Suite, an internal business management application operated by Ascot Promotions Ltd.
Ascot Business Suite is developed for the internal operational and administrative requirements of Ascot Promotions Ltd and is not currently available for public purchase, subscription or licensing.
2. Permitted Use
Ascot Business Suite may be used only by authorised employees, directors and representatives of Ascot Promotions Ltd for legitimate business purposes.
The application is intended to assist with supplier invoice processing, accounting integration, business reporting and related administrative activities.
Unauthorised access or use is prohibited.
3. QuickBooks Online Integration
Ascot Business Suite may connect to QuickBooks Online through Intuit's authorised API and OAuth authentication services.
Access to QuickBooks information requires authorisation by an appropriately authorised user.
The application may retrieve accounting information and, where specifically enabled and approved, submit accounting transactions to QuickBooks Online.
Users remain responsible for reviewing and approving financial information before submission.
Ascot Business Suite is an independent internal application and is not endorsed or operated by Intuit.
4. Data Protection and Confidentiality
Users must handle supplier, customer, financial and other business information confidentially and in accordance with Ascot Promotions Ltd's applicable policies.
Information processed through the application is subject to the Ascot Business Suite Privacy Policy.
5. Security and Access
Users must take reasonable precautions to protect their devices, accounts and access credentials.
Access must not be shared with unauthorised individuals.
Ascot Promotions Ltd may restrict or withdraw access where necessary to protect its systems and business information.
6. Software Availability
Ascot Business Suite is provided for internal business use and may be modified, updated, suspended or discontinued at the discretion of Ascot Promotions Ltd.
Although reasonable efforts are made to maintain the application's reliability and accuracy, uninterrupted or error-free operation is not guaranteed.
7. Responsibility for Accounting Records
Ascot Business Suite is intended to support, rather than replace, appropriate accounting checks and professional judgement.
Authorised users are responsible for verifying supplier invoices, accounting classifications, VAT treatment and transaction details before approving submissions to QuickBooks Online.
8. Third-Party Services
The application may depend on third-party services, including Intuit QuickBooks Online and Microsoft business services.
Use of those services may also be subject to their respective terms and conditions.
9. Changes to This Agreement
Ascot Promotions Ltd may update this Agreement to reflect changes to the application, its functionality or applicable requirements.
